Notes
A Note is a rich-text page that people and agents edit together, live. Use Notes for knowledge your team keeps reading and changing: meeting notes, plans, decisions and policies. Everyone who has a Note open sees changes as they happen.
Each Note belongs to one Space, and everyone in that Space can open it. A Note never moves to another Space.
A Note or a file?
| You want | Use |
|---|---|
| A page the team keeps reading and editing together | A Note |
| A Word, PDF or Excel file, a picture, or anything another program reads | A file in Files |
Notes never appear inside Files, and a Note is not a Word document. An agent can send a Note out as a Word file or PDF. That file is a copy of the Note as it is now, and it does not stay in sync.
Write a Note
- Open Notes in the sidebar. The shortcut is ⌥⌘O on Mac and Alt+Ctrl+O on Windows and Linux.
- Choose New note, or Start a note if the list is empty. You can start from an example such as Meeting notes or Decision record.
- Type a title and write in the body. Type
/to open the command menu, or select text to format it.
The editor offers headings, bulleted, numbered and to-do lists, toggles, quotes, callouts, code blocks, tables, dividers, images embedded from a link, and text color and background. Type @ to mention people, Captains or Threads.
A tab opens for each Note, and the tabs you leave open come back next time. Drag a tab to the side to open two Notes next to each other.
Edit together
People and agents can have the same Note open at once. The Note shows who is in it and who changed it. Open the contributors list to see which Captains and Threads have edited it.
- Changes since your last visit. Choose See changes to see what changed in a Note since you last opened it. The bar goes away once you open the changes or start typing.
- View only. If you can see a Note but not edit it, the editor says View only.
Agents can add to a Note by appending text at the end. An agent cannot rewrite a Note that already exists. To change what a Note says, an agent adds corrected text and asks you before it moves anything to Trash.
Organize
- Folders. Choose New folder to create one, and drag Notes into folders. Folders are part of Notes and do not appear in Files.
- Pin a Note or folder to keep it near the top of your sidebar.
- Rename, Duplicate and Copy link are in a Note's actions menu.
- Order the list by name or by last edited, and filter it.
Trash
Move to Trash takes a Note out of the list. Open a Note in Trash and choose Restore to put it back. To delete it forever, choose Delete forever from the Note's menu, and confirm in the dialog. A Note stays in Trash until you restore it or delete it forever.
Dictate or talk to a Note
If Voice is on, the microphone in a Note dictates at your cursor, and Talk to Whorl lets you edit a Note by speaking.
Limits
Command center search does not search inside Notes today. Use the filter on the Notes page to find a Note.
